How LeadLock AI works (simply)

When someone reaches your business through a call, message, chat widget, or form, LeadLock helps you respond fast and keep every conversation organized:

  • AI assists in real time — suggesting replies, summarizing threads, and keeping momentum so no lead goes cold.
  • Information is captured securely — contacts, timelines, and context land in one place.
  • Leads live in your CRM — pipeline, notes, and history stay tied to each person.
  • Follow-up can run automatically — based on rules you configure (SMS, email, tasks, and more).

Data security

We use industry-standard encryption and security practices to protect data as it moves between your team and LeadLock (HTTPS / TLS), and we store information in managed, access-controlled environments designed for production SaaS workloads.

Your workspace is isolated from other customers — your team sees the leads and data that belong to your account. Financial records you keep in LedgerAI follow the same tenant boundaries as the rest of your CRM.

AI & automation

Artificial intelligence helps your team move faster: drafting responses, summarizing conversations, qualifying intent, and powering voice and chat experiences. You stay in control — you choose what to send, which automations run, and how hands-on AI should be.

AI is powerful, but it isn't perfect. Replies can be wrong or incomplete. We're upfront about that because honesty builds trust. We recommend human review for anything sensitive (legal, financial, safety, or compliance-heavy).

Voice & messaging

Calls and SMS often flow through trusted telecommunications partners (typically Twilio) so we can deliver reliable routing, recording (where you enable it and law allows), transcriptions, and delivery status.

For SMS, consent matters. LeadLock includes tools and patterns to support compliant workflows, but your business is responsible for following local rules (including opt-in, identification, and STOP/HELP handling) and for what you say to customers.

If you record calls or use AI on calls, you are responsible for notices and permissions required where you operate.

Infrastructure & partners

Like most modern platforms, we rely on specialized providers to do what they do best. Depending on the features you use, that may include:

  • Twilio — voice, SMS, and telephony delivery
  • OpenAI — AI processing for chat, summaries, and related features
  • ElevenLabs — natural text-to-speech when you enable premium voice on supported plans
  • Stripe — subscription billing and payments

Each vendor maintains its own security and compliance programs. We work with them under agreements appropriate for service providers, and we only send what's needed to run the features you turn on.

Account security

Sign-in and sessions are protected with standard safeguards. Where we offer multi-factor authentication (2FA) for your account, turning it on significantly reduces the risk of unauthorized access. You should also protect API keys and integration credentials the same way you protect passwords.

Internal access (Control Tower)

A small group of authorized LeadLock operators may access internal tools (we call this Control Tower) to help customers, fix issues, prevent abuse, and keep billing and infrastructure healthy.

Access is limited, role-based, and purpose-driven — not a free pass to browse your CRM for curiosity. Sensitive actions are gated (including additional verification for operators where required), and we log many operator actions for accountability.

How we use data (product improvement)

We analyze aggregated and operational signals — errors, latency, feature usage, and similar metrics — to keep LeadLock fast, stable, and easier to use. That's normal for a serious SaaS product: it helps us catch outages, prioritize fixes, and ship improvements.

Compliance & your responsibilities

LeadLock is built to support responsible use: consent tooling for SMS, audit-friendly patterns, and clear separation between workspaces. Regulations vary by industry and region, though — you decide how you market, who you message, and how you disclose AI or recording to your customers.

Our Terms of Service describe messaging rules, acceptable use, and liability in more detail. When in doubt, talk to qualified counsel for your use case.

Reliability & performance

We monitor the platform, ship updates, and invest in infrastructure so LeadLock stays responsive during real business hours. No cloud service can promise 100% uptime — carrier outages and third-party incidents happen — but reliability is a priority, not an afterthought.
